About this policy
This policy is part of the Yardstick Terms of Service between Yardstick Rental Software LLC ("Yardstick") and each rental business that uses Yardstick (an "operator"). It applies to every operator and to everyone on its team. If you break it, we may suspend or end your access, as described in the Terms.
You must not
- Run unlawful rentals. Don't use Yardstick to rent, advertise or manage equipment or trailers in a way that breaks the law, including licensing, safety, consumer-protection or anti-discrimination laws.
- Discriminate. Don't use any Yardstick feature, including identity verification, booking approval or damage decisions, to treat renters differently because of race, color, religion, sex, national origin, disability, age or any other characteristic protected by law.
- Misuse identity verification. Only require identity verification for a real rental, and tell renters why. Don't use it or its results to track, profile or harass anyone, or for anything other than managing that rental. Don't share results outside your business except where the law requires it.
- Misuse ID images. If you use the "ID on file" upload, upload only ID photos you've lawfully collected for a real rental, don't download or copy them out of Yardstick except for a dispute, claim or legal requirement, and don't upload ID images of people who aren't renting from you. Only owners and managers can view these photos, and how long they're kept is set out in the Privacy Policy; use a legal hold to keep them longer only for a real dispute, claim or legal requirement.
- Rely on AI alone for money decisions. Don't charge a renter, keep a deposit or make a damage claim based only on an AI Damage Check result. A person on your team must look at the pickup and return photos and make the decision. See AI Damage Checks.
- Upload other people's data without a lawful basis. Only enter or upload personal information (including photos) that you have the right to collect and use, and give people any notices the law requires. Don't upload sensitive information that the Service doesn't need, such as Social Security numbers, full card numbers, bank details or health information.
- Put sensitive personal information into the Help assistant. Questions you type into the in-app Help assistant are sent to our AI provider. Ask about how to use Yardstick; don't paste renter contact details, ID numbers or other sensitive information into it.
- Send spam or unwanted messages. Only use Yardstick's emails to contact renters about their own rentals or quotes. Don't use the Service to send marketing, bulk messages, or messages to people who haven't rented from you or asked you for a quote. Don't put misleading content in messages. If you turn on reminder emails, turn them off for anyone who asks you to stop. See the Communications Policy.
- Scrape or abuse the Service. Don't scrape, crawl or bulk-download from Yardstick (including booking pages), overload it, get around rate limits or usage allowances, or interfere with how it works.
- Try to break isolation or security. Don't try to access another business's data, other accounts, or parts of the Service you're not authorized to use. Don't probe, scan or test the Service for vulnerabilities without our written permission. Don't share links, logins or credentials to get around access controls, and don't share one login between several people.
- Upload harmful or infringing content. Don't upload malware, or content that's unlawful, deceptive, harassing, sexually explicit or that infringes someone else's rights.
- Misrepresent yourself. Don't impersonate another person or business, create accounts with false information, or present your storefront as belonging to someone else.
- Use renter data for unrelated purposes. Don't sell renter data, or use it for purposes unrelated to the rental relationship without the renter's consent.
What we may do
If we reasonably believe this policy has been broken, we may investigate, ask you to fix the problem, remove or disable content, or suspend or end access as the Terms describe. We may suspend a storefront or account immediately where that's needed to deal with a security threat, abuse or clearly unlawful use; otherwise we'll tell you first and give you a reasonable chance to fix it.
